New Patient Welcome Automation, designed to enhance your practice's efficiency and improve patient experience.

Donna's new feature will takes one less task off your team's plate by welcoming new patients and gathering their information for you.

  • Automatically Welcome New Patients: Donna will automatically detect new patient booked appointments and send them a personalized welcome message.
  • New Patient Intake Forms: Along with the welcome message, you have the option to send the patient a link to one of the Intake forms in CareCru via email and/or SMS, allowing them to complete it before their first appointment.
  • Family-Friendly: If the patient is booking for multiple family members, Donna will send one family-specific message including all booked appointments.
  • Calendar Integration: The patient can also add the appointment to their calendar allowing for easy future access.

  • Automatic Detection: When a new patient books their first appointment, we will automatically detect and tag them as a new patient based on their appointment and transaction history.
  • Customized Messaging: You can personalize the welcome message and use the CareCru form links to match your practice tone and requirements.
  • Automated Delivery: The welcome message and form link(s) are sent automatically to the patient via Email and/or SMS.

What Are Pre-confirmable Reminders?

Pre-confirmable Reminders allow patients to pre-confirm their appointments ahead of time via SMS or email, ensuring a smoother scheduling workflow.

When Will Donna Send a Pre-confirmable Reminder?

Pre-confirmable Reminders will be sent only if an appointment is not marked as Confirmed or Pre-confirmed.

‍

How Do Patients Pre-confirm?

  • SMS: Patients can reply with β€œP” to pre-confirm their appointment
  • Email: Patients can simply click a Pre-confirm button

Impact on Other Reminder Types?

Pre-confirmed appointments will still receive Confirmable and Friendly Reminders based on your existing workflow and practice settings.

Settings and Preferences:

  • All your advanced reminder settings and touchpoint preferences remain unchanged
  • Patient contact preferences for SMS and email reminders continue to apply

Designed to enhance your SMS communications with patients, this tool lets you:

  • Create standardized templates for common messages.
  • Personalize messages by using insert tags for automated output on:

    • patient details: name, appointment details

    • practice details: name, online scheduling link, contact info
    • Β 
    • name of user sending the message

  • Save time by quickly accessing pre-written templates.
  • Reduce errors with consistent, professional messaging.

Whether it’s rescheduling appointments, recall follow-ups, or update requests, this feature ensures the communication to your patients is efficient and hassle-free.

To start optimizing your patient interactions today, you can find this new feature located in the new section Account Settings > Message Templates.

To access your templates from within Chat, just click on the Message Template button at the bottom of any conversation. Select the template you want to use and it will prepend all the data/info as set in the template.

We now allow users to view a patient's Preferred Name (if applicable) in the CareCru Platform.

  • Under Account Settings > Practice > General, a new section is added called Display Name Format. This allows you to choose your view in CareCru for all patient names.

  • Choose between the following options:
    • ‍First Name & Last Name
    • First Name, Preferred Name, & Last Name

Online Scheduling: Gender Not Appending to Online Request

Details:

When attempting to accept an online appointment request, the gender was not populating which forced the user to have to add it manually before being able to accept the appointment. This has now been resolved.

Linking Online Appt Request to Pending Appt does not Update Appt Status to Booked (Tracker)

When linking an online appointment request to an existing pending appointment in Tracker, the appointment status was Β not updating from Pending to Booked. Only the date/time of the pending appointment is being updated from the online appointment request. This is now resolved.

Admin Role Unable to Edit/Delete Admin or User role accounts

Accounts set up with Admin user role access, should be able to edit and delete other accounts that are set as either Admin or User.
This function was no longer working, and has now been resolved.
